In any organization, effective communication between the finance team and the rest of the management team is crucial. In its advisory capacity, the finance department needs to be able to convey insights clearly and concisely to inform strategic decisions. Here’s how Power BI can help finance teams to achieve this.<h1 id="28803cb1-869a-4704-b896-644d8e6da9a5" data-toc-id="28803cb1-869a-4704-b896-644d8e6da9a5">Simplifying Complex Financial Data</h1>Financial data can be complex and overwhelming, especially for those without a financial background. Many senior managers struggle to digest seemingly endless rows and columns of numbers. Power BI helps by transforming raw data into intuitive and interactive visualizations. Charts, graphs, and dashboards present financial information in a way that is easy to understand quickly. This visual representation helps management quickly grasp key metrics and trends, making discussions more productive and focused. We need to remember, though, that everyone is different, and it can sometimes be helpful to present the same information in different ways. Again, Power BI is very good at this. However, the simple addition of the two bridge charts that reconcile the actual performance against the budget for the same period, and the shading on the income statement draw the user’s attention to the underlying story. From the two bridge charts, we can immediately see the following:<ul><li>Net profit is down</li><li>The biggest problem appears to be poor sales</li><li>The gross margin up – suggesting higher quality, lower volume sales perhaps</li><li>The poor top-line sales performance is to some extent offset by “Other Income”, so the underlying net profit performance is perhaps even £7.421M worse.</li><li>There is a significant issue with the SG&amp;A expenses, which have increased while sales have decreased.</li></ul>Looking across to the P&amp;L table, two lines in the SG&amp;A section are highlighted, showing that Staff Costs and Professional fees are considerably above budget.In just a couple of minutes, this surfaces the questions that all members of the senior management team should either be able to ask or answer:<ol><li>Why are sales so far below budget, and what can we do about it?</li><li>Why are our staff costs increasing when our sales are falling?</li><li>Why are our Professional Fees so far over budget?</li></ol><h1 id="e4a7c30b-5b31-4ba5-938c-046da8642739" data-toc-id="e4a7c30b-5b31-4ba5-938c-046da8642739">Creating Interactive Reports</h1>If the charts in the above image were in a printed report, then we are dependant on the report author anticipating these questions and pre-preparing the answers in the report. This creates many issues.<ol><li>The author may not know the business detail behind the answers and will have to consult in advance with the relevant line manager(s), consuming significant management time</li><li>This, coupled with the time that it takes the author to produce the report, introduces a delay before the management team can review business performance</li><li>It is unlikely that the author will correctly anticipate all questions, and questions get raised in the management meeting that cannot be immediately answered, generating more delays, frustration, and disengagement from the numbers by the management team</li></ol>Using Power BI, the finance team can create interactive reports that allow users to explore data dynamically. Management can drill down into specific details, filter data on the fly, and view real-time updates. This interactivity not only makes the data more engaging but also allows management to ask pertinent questions and get immediate answers during meetings.In this example, in a few seconds, we can examine the Professional Fees breakdown, and see that while most categories are over budget, it is the consultancy fees that are the largest problem. We can also see that 76% of these fees are from one supplier.<img src="https://letcheck.b-cdn.net/3081/2-expense-analysis-1726335156557.png" style="width: 100%; height: auto; cursor: pointer;" draggable="true"> A further drill-through on the supplier shows that its monthly fee has increased by 254% to £819k per month over the past 12 months.<img src="https://letcheck.b-cdn.net/3081/3-expense-drill-through-1726335230349.png" style="width: 100%; height: auto; cursor: pointer;" draggable="true">The power here comes from being able to interrogate the data on the fly. The result is a much more productive management meeting.<h1 id="c1b8c76c-1166-40a5-b78e-9390f95fff9a" data-toc-id="c1b8c76c-1166-40a5-b78e-9390f95fff9a">Timely data access</h1>Timeliness is critical in business decision-making. While some aspects of financial reporting may have to wait until the month-end, many aspects such as cash collection and sales performance can be reported on close to real-time. Sharing this information, as it happens, with the management team helps them to focus on how they can make a difference, while also enhancing the credibility of the finance team.<h1 id="7bf5b5d0-7076-42fd-91f5-ccb5c76478e6" data-toc-id="7bf5b5d0-7076-42fd-91f5-ccb5c76478e6">Customized Dashboards for Different Audiences</h1>Different stakeholders have different needs. Power BI allows the finance team to create customized dashboards tailored to the specific requirements of various management members. For example, the CFO might need detailed financial performance metrics, while department heads might be more interested in adherence to their budgets. By providing targeted information, the finance team ensures that each member of the management team gets relevant insights without information overload.The example below is a dashboard aimed at the collections team.<img src="https://letcheck.b-cdn.net/3081/4-collections-1726335286860.png" style="width: 100%; height: auto; cursor: pointer;" draggable="true">On a single page, the collections team can see:<ul><li>How much cash has been collected so far this month, vs an automatically generated forecast based on outstanding invoices and customer payment history</li><li>How much falls due this week and in the coming few weeks, along with how much is recently past-due</li><li>Customers that have exceeded their credit limit</li><li>Customers with unallocated credits pending allocation</li><li>Details of all invoices outstanding</li></ul>A report like this can be updated almost in real time, including the forecast collections for the month.
